Visa FAQs

When is the best time to apply for my visa?
The best time to apply for your visa is 1-2 months before your travel date. However, if you are running short on time, for some countries we may be able to process your visa in as little as 1 business day. For example, if you overnight your application to us on Monday, you can have it back in your hand on Wednesday with our same-day rush service.

Do I have to send you my passport to get a Belarus visa? Is it safe to send a passport?
Yes. You will need to send your actual passport, not a copy of it. The Belarus visa is stamped on your passport and will become one of your passport pages. Visa request cannot be processed without your original passport. Because of the importance of your passport, we strongly suggest that you send your application by a secure method, such as a guaranteed postal service or courier.

Sample of the Business Travel Requirements for an Belarus Business Travel Visa Requirements for Belgian Citizens

  1. Visa May Not Be Required

    Visa exempt for a maximum stay of up to 30 days. The traveller must:

    • Hold a passport valid at least six months on entry with one blank visa page
    • Hold proof of sufficient funds for a minimum of €20.00 per day of stay on entry
    • Hold proof of medical insurance cover for Belarus of not less than £10,000
    • Enter and exit through the border checkpoint at the Minsk National Airport   
    • Not be arriving to Belarus by plane from Russia and planning to go to the airports of Russia     
    • Hold proof of onward/return airline tickets
    • Hold all documents required for the next destination
    • Confirm with their airline that boarding will be permitted without a visa as these conditions are subject to change

    For stays of longer than 30 days, a visa is required. The requirements can be found within the CIBTvisas application pack.

  2. Passport

    The applicant's passport must:

    • Be valid for at least six months upon arrival 
    • Have at least two blank facing visa pages
    • Be free of covers

  3. Photographs

    You must provide one colour, passport type photograph that meets the following criteria:

    • Be taken within the last three months and printed on high quality photo paper
    • Be taken against an all white background
    • Be 35 mm by 45mm in size
    • Provide the full frontal view of your head with your face centered in the middle and displaying a neutral (non-smiling) expression
    • You may wear no headwear except for religious purposes
    • Your photo should not be affixed to your application and it may not display evidence of adhesive or staples

  4. Letter of Invitation

    An official letter of invitation from the company to be visited in Belarus. The invitation must be:

    • Made by the company that has to be officially registered in the country of destination.
    • Mention the duration of stay, name and passportnumber of the applicant.
    • Includes a registration number (from the Ministry of Foreign Affairs in Belarus), date of issue, the signature and a official corporate seal.
    • Be written in Russian

  5. Proof of Travel Insurance

    A certificate of health insurance coverage. Copies are accepted. The certificate must :

    • Indicate the name, address and phone number of the foreign insurance company or international assistance company. Certificates from a local health maintenance organization ("mutuelles / mutualiteit") are not accepted
    • Indicate the full name of the applicant
    • State that the policy is valid for the destination
    • State that the policy is valid for the duration of the entire trip (minimum validity of 3 days)
    • Indicate a medical liability cover of at least 10,000 Euros

  6. Visa Application Form

    One completed and signed application form. This form must be filled out in block capitals and signed in black ink

  7. One Year Multiple Entry Applicants

    The documents below are required when applying for a multiple entry visa of a year:

    Letter of Invitation

    A letter of invitation, supplied by the inviting company in the country of destination. This letter must:

    • Be an original
    • Be issued by an agency/company/organisation in the country of destination. The company has to be registered there as a legal entity by the local authorities
    • Be printed on the official letterhead with a registration number, date of issue, the signature of an official and a corporate seal
    • Mention the duration of stay of the applicant
    • Include a stamp and signature

    Business Introduction Letter

    A letter stating that the Belgian company confirming that the applicant will abide by the rules and regulations for foreign citizens in the country of destination. This letter must:

    • Be the original version
    • Be on company letterhead paper and written in English
    • Include the name and address of the Belgian company
    • Include the name of the applicant
    • Include the date of birth of the applicant
    • Include the applicant's passport number
    • Specify the requested number of entries and the length of visa required
    • State the start and end dates
    • Include an acceptance of financial responsibility for the applicant
    • Include a stamp and signature

    Cooperation Agreement

    A copy of a cooperation agreement between the Belgian and the inviting company. The agreement must bear the original stamp of the inviting company.

    Proof of Employment

    A letter from the Belgian company is required. This letter must:

    • Confirm that the applicant is working at the company
    • Be written in English

    The applicants must provide an original cover letter issued by the tour operator. This letter should:

    • Be written in Russian
    • Be printed on company letterhead paper
    • Confirm the booking of a travel for tourist purposes
    • Indicate the applicant's travel dates
    • State the applicant's full name, date of birth, occupation and contact details
    • State the tour operator's contact details
    • Indicate the validity and number of entries for the visa required
    • Be signed and stamped by the tour operator
